Welcome to Tanbridge House School

We look forward to welcoming all our new students to the school in September.

In order to prepare for their arrival, please can we ask you to complete all sections of the admissions form below and ensure you submit the form by Friday 28 March 2025.

Parental Responsibility and Emergency Contacts

This is the order in which you will be contacted in case of emergency. Contact 1 must have parental responsibility with the student and be their parent or have parental responsibility for the student.

Please can we ask you to add two additional contacts. In the event of an emergency, we require additional contacts should we not be able to get hold of Contact 1. Please note, we are not able to discuss any child's details with anyone who does not have parental responsibility for that child.

Consent for Photography and Images of Children

At Tanbridge House School, we often take photographs and videos of activities in school that we wish to share. These images are used internally and externally, online (including on social media) and in print by us and may also be shared with local/national press and third parties such as our business and community links.

We will ensure that photography or filming only takes place under the appropriate supervision. Images that we believe might cause embarrassment or distress will not be used nor will images be associated with sensitive materials or subject matters.

Below you will be asked if you give permission for pictures/video's to be taken of your child. Please indicate yes or no to this question.

You will also be asked if you give permission for your child to be named alongside any photographs and videos used by THS. Again, please indicate yes or no to this question.

Finally, if your child is starting in Year 7, we would like you to indicate if you give permission for your child to have their photograph taken on the Year 6 Induction Day and again on their first day in year 7. These photographs are only used for the purposes of Meet the Tutor evening and again for the Leavers Yearbook when the students reach the end of year 11.

You may withdraw your consent, in writing, at any time or if you wish to change your consent, then again please confirm in writing.

Medicines Policy

The Medicines Policy permits the school to administer the following non-prescription medication if your child develops the relevant symptoms during the school day. Pupils will be given a standard single dose suitable to their age and weight. You will be informed if the school has administered paracetamol to your child via email. Paracetamol can only be administered during the hours of 12–2pm.

  • Paracetamol
  • Ibuprofen (over 12 years old only)
  • Anti-histamine
  • E45 Cream

Please indicate if you do or do not give your consent for the school to administer the above medicines during the school day. If you wish to amend your permissions at any time, please contact the school in writing.

By giving your consent, you are also confirming that your child has previously had this medication without suffering any adverse effects.

Biometric Permission Form

We want to use information about your child as part of an automated recognition system for our catering system. The information from your child that we wish to use is referred to as 'biometric information' (see next paragraph). Under the Protection of Freedoms Act 2012 (sections 26 to 28), we are required to notify you and obtain written consent of at least one parent to use this information.

Biometric Information and How it is Used

Biometric information is information about a person's characteristics that can be used to identify them. We would like to use information from your child's biometric fingerprint for the purpose of providing your child with our canteen facilities.

The information is used as part of an automated biometric recognition system. This system takes measurements of your child's finger and converts these into a template to be stored on our system. An image of your child's finger is not stored. The template (i.e. measurements taken from your fingerprint) is what will be used to grant access to the canteen service.

You should note that the law places specific requirements on schools when using such personal information, for example:

  • the school cannot use the information for any purpose other than those for which it was originally obtained and make known to the parent(s) (i.e. as stated above)
  • the school must ensure that the information is stored securely
  • the school must tell you what it intends to do with the information
  • unless the law allows it, the school cannot disclose personal information to another person/body

Providing your Consent/Objecting

As stated above, in order to be able to use your child’s biometric information, the written consent of at least one parent is required. However, consent given by one parent will be overridden if the other parent objects in writing.

You can object to the processing of your child’s biometric information at a later stage or withdraw consent you have previously given. This means that if you give consent but later change your mind, you can withdraw this consent. Please note, any consent, withdrawal of consent or objection from a parent must be in writing.

Even if you have consented, your child can object or refuse at any time to their biometric information being taken/used. The objection does not need to be in writing. We would appreciate it if you could discuss this with your child and explain to them that they can object to this if they wish.

If you give consent to the processing of your child's biometric information, please indicate this below. Please note that when your child leaves the school, or if for some reason he/she ceases to use the biometric system, his/her biometric data will be securely deleted.

Please note that without this consent, your child will be unable to use their fingerprint in the canteen.

Consent Form for use of Biometric Information in School

  • Having read the guidance provided to me by Tanbridge House School, I give consent for information from the biometric fingerprint of my child being taken and used by Tanbridge House School for use a part of an automated biometric recognition system for canteen services.
  • In signing this form, I am authorising the school to use my child's biometric information for this purpose until he/she either leaves the school or ceases to use the system.
  • I understand that I can withdraw my consent at any time via email to dpo@ths.uk.net
